Keyminds is responsible for the processing of personal data as described in this privacy statement. We see it as our responsibility to protect your privacy. This statement explains Keyminds’ privacy policy. By using or cooperating with our services, you accept this privacy policy and give Keyminds permission to use your personal data for its services. This privacy statement will be amended from time to time to comply with changed legislation. 2. For what purposes do we process personal data?
We collect and process your data for the performance of our HR services, including personal development and employability, team development, outplacement processes, payroll administration and personnel management.
Keyminds collects personal data for different purposes and on different bases: for example, for the provision of services as agreed with you and/or your employer, for pre-contractual activities (such as making an offer) or for processing the request you make to us via one of the forms on our website. We then have a legitimate interest in processing your data: the processing of the data is then necessary for the proper handling of your request. On various pages of the website you will be asked to fill in personal data, for example when you want to contact us or request information. We only carry out certain processing operations with your consent, which you can also revoke at any time.
“Processing” means: the collection, recording, storage, organisation, transfer, adaptation, modification, search, consultation, use, restriction, disclosure by means of transmission, distribution or otherwise, comparison, blocking, destruction and deletion of recruitment information.

3. Personal data that we process
Keyminds processes your personal data because you use our services and/or because you provide them to us yourself. You are responsible for the accuracy and relevance of the data you provide. Below you will find an overview of the personal data that we – among other things and to the extent applicable – process:
When applying for a vacancy or taking part in an assessment, outplacement or coaching programme:

• first and last name
• gender
• birth date
• address details
• phone number
• email address
• curriculum vitae (CV), information on education, traineeships and work experience
• correspondence
• conversation notes
• other information which is or may be relevant to the assessment of suitability, such as references and certificates
• passport photo – on a voluntary basis

The moment you are able to work/work/have worked for Keyminds:

• nationality
• BSN-number
• ID proof
• other data relating to staff, salaries and wages.
absenteeism registration
• in addition, we process data for our clients as part of a pre-employment screening process

Keyminds only records special personal data if this is necessary to comply with its legal obligations, insofar as permission has been given for this or if this is otherwise permitted by or pursuant to the law. Special personal data’ refers to data relating to race, religion or belief, political affiliation, health, sexual life, trade union membership, personal data under criminal law and/or personal data relating to unlawful or disruptive conduct.

4. Sharing personal data with third parties
For the provision of information to third parties, there must be the specific written consent of the client. This written consent must be addressed to the psychologist or the Keyminds secretariat.
The provision of data shall not take place insofar as the importance of this provision of data does not outweigh the importance of respect for the privacy of the person to whom the data relate.
A request for data will not be fulfilled if and insofar as more is clearly requested than is necessary for the performance of the task assigned to the requestor. A request for data will not be complied with if it can be reasonably assumed that the requestor, upon receipt, will treat these data in such a way that the privacy of the person concerned will be disproportionately harmed.
Keyminds remains responsible for these processing operations.

5. Retention of data
Keyminds does not store your personal information any longer than is necessary for the purposes for which the information was collected. The retention period depends on the nature of the information and the purposes of the processing.

6. Security
Keyminds takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification. If you have the impression that your information is not properly secured or there are indications of misuse, please contact us at office@keyminds.nl.

7. Inspection, correction and removal
You have the right to view, correct or delete your personal data. In addition, you have the right to withdraw your consent to the data processing or to object to the processing of your personal data by Keyminds and you have the right to data transfer.

8. Cookies
This website uses permanent cookies. These are small text files that are automatically placed on your computer by the internet browser. With the help of a session cookie it is possible to keep track of, among other things, which web pages you view and which options you use.

Keyminds uses Google Analytics, a web analysis service provided by Google Inc. Google Analytics uses cookies to help Keyminds analyse how users use the Website. The information generated by the cookie about your use of the website (your IP address is expressly not given) will be transmitted to and stored by Google on servers in the United States.


Google will use this information for the purpose of evaluating your use of the website, compiling reports on website activity for Keyminds and providing other services relating to website activity and internet usage. Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google’s behalf. Google will not associate your IP address with any other data held by Google.

10. Subscribe to newsletter
Keyminds offers you the opportunity to subscribe to the newsletter. By doing so, you give your permission to store the information provided. In this way Keyminds can keep you informed about activities, news and/or developments. Keyminds offers you the possibility to unsubscribe at any time.
If a newsletter is sent, statistics are collected based on the e-mail address. Our newsletters are regularly sent to a specific area of interest. By keeping our statistics on e-mail address we ensure that the content of the newsletter matches the areas of interest of subscribers.

11. Forms
There are forms on various parts of our websites where personal data is requested. These personal data are stored in our WordPress CMS and are usually e-mailed to the specific department that has to process the data.

Forms are only sent by e-mail to the department for which the data is relevant. The data is only used to follow up on a contact request. In addition to the data you fill in yourself, the time, IP address and page are stored to give more context to the form submission and thus more complete answers to questions.


12. Statistics about organisations that visit the website
Software is linked to this website. The SalesFeed Software generates statistics about the origin and behaviour of our target groups. The SalesFeed Software processes the IP addresses of visitors. The IP addresses of some of the Dutch organizations that visit this Website are linked to a database containing company data. Information about organizations that are registered as a result of their visit to this Website is not shared with third parties. Use of cookies by SalesFeed Software
By default, 1 cookie is placed by the SalesFeed Software. This cookie is a session cookie or first party cookie. A session cookie is used to aggregate events. This cookie expires after half an hour of inactivity. By default, no third party cookies are placed with visitors by SalesFeed software.
